General Policies
We hope the outline below answers all your questions. If not, please e-mail or call. Our business office telephone lines are open daily from 9am - 5pm. If we are not able to answer your call right away, please leave a voice message with a return number so we may return your call as soon as possible.

Check-in time is anytime after 3:00pm and Check-out time is 11:00am.
Check-in time is anytime after 3:00pm and Check-out time is 11:00am. A major credit card, cashers check, money order, or cash is required to secure your reservation. When making your reservations by calling us directly, a confirmation by email will be sent shortly after the completion of the call. If you do not receive your confirmation within an hour, please contact us so that we can attempt to correct the notification failure. If we are not added to your address book, it is possible confirmations may fall into your spam/junk mail folder. Cabins are "Self Check-In", Your confirmation email will include your combination lock code to enter your cabin as well as a code to enter the security gate at the main entrance. Please print your confirmation email as it includes your driving directions to your cabin. There are no keys to keep track of or worries about losing or misplacement of keys. Remember your lock code will not work on the first day until 3:00 p.m. arrives. Upon the last booked day of your stay, please be sure to exit building by 11:00 a.m. as the door will lock and code will no longer be valid.
Maintance, cleaning personnel will arrive between 11am and 3pm on the days that the cabins are scheduled to be vacant. It is necessary to be completely out of the cabins on your departure date by 11am. Any time after 11am, and the cabins has not been vacated, you will be charged an additional $25 per hour past your checkout time.
At anytime, if you need assistance, please call the numbers listed below. However calls after 10pm most likely will not be answered or returned until 8am of the next business day.
RATES & DATES:
Rates are charged by the number of nights that you are staying in the cabin, not by the days. Our rates are the same per night, weekdays or weekends.
One Night Rental:
One (1) night rentals are considered and are not available more than 1 week in advance of arrival. 100% payment is due at the time of the reservation. One-night rentals are considered only if it makes good business sense to do so. (Possible $50.00 cleaning fee may apply if cabin is not clean at time of departure).
ADDITIONAL PER PERSON CHARGES:
Each cabin has a base rate for a set number of people and then $12.00 for each additional person, per night. Children 3 and under are free. We respectively ask that you give us accurate information about the total number of people in your cabin.
Amenities:
Central Heat/Air, ceiling fans, Full Kitchen includes: Refrigerator, oven/range, microwave, coffee maker, and toaster, all cookware, dishes, silverware, and glassware. Porch include: Patio furniture and Charcoal BBQ grill & BBQ tools. (Firewood or Charcoal not provided).
Items not included:
Paper towel, dish towels, toilet paper, bath towels, dish soap, bath soap.
YOU MUST BE 21 TO RENT A CABIN:
We reserve the right to refuse to rent a cabin to anyone under the age 21. A parent or guardian must be present with all guests under the age of 21.
Down Payment:
Your credit card can secure your reservation, or payment in full by cash or check. Check payments must be made in 2 weeks in advance. Once check has cleared (10 to 14 days) we will issue a door code to allow access to the cabin. So plan in advance for your reservation.
When paying by credit card a cabin rental quote will be email to you for approval. Once approved, an Invoice will be sent to you by email. You will be able to enter your credit card information for the full amount of the invoice, or pay the 25% deposit to hold your reserved date on a very secure website. Full payment must be received 1 to 10 days before your checkin date. If not paid in the 1 to 10 days before checkin,you will not receive your codes for the security gate or door code to gain access to the cabin. We cannot hold your reservation date if payment is not processed, (as discribed above) in time due to another customer wanting to make a reservation on the same date. Once payment is received, you will receive a confirmation by email of payment and information on how to access the security gate as well as information code to your cabin. Please note, your security deposit to hold a book date is non refundable. So if you cancel your reservation, the security deposit is not refunded.
CANCELLATIONS: VERY IMPORTANT INFORMATION BELOW
If for any reason you need to cancel your reservation, a 10-day notice of cancellation is required. If you book your cabin in less than a 10 day notice time frame, no refund will be granted and full reservation cost will be applied. Only the guest named on the reservation may cancel or make changes to a reservation. We will accept cancellations via phone call. You MUST talk with someone about a cancellation, or leave a voice mail and a return number and we will call you back. All cancellations will be issued a cancellation number for your file. We regret that we cannot accept cancellations by voice mail, emails, text. Your reservation is not cancelled unless you actually speak with one of our staffs. We are not responsible for any power outages, and this will not constitute a refund. A power outage is out of our control. A change in weather will not constitute a refund as we do not have any control of the weather.
Any cash pre-payments on cabin rentals are not re-fundable for any reason.
Smoking:
All the cabins are non-smoking cabins. Smokers, please use outside ashtrays. Please do not throw cigarette butts on the ground. If the cabin smells of cigarette smoke after your departure, an additional cleaning fee of $50 per rental night will be billed to you by invoice due upon receipt.
Quiet Hours:
Shooting guns, or fireworks, is not allowed on cabin property. Outside loud music is prohibited at all times. Quiet hours begin at 11 PM to 7 AM.
Renter are responsible for damages and-or misuse of the property and it's contents by all guest during their reservation period and acknowledges such actions will result in additional charges. Anything that is missing will be charged to the assigned renter. Do not remove any of the items from any of the cabins or take anything from one cabin to the other. Do not take any of the furniture outdoors. They are for the indoors and are not to be taken out and left in the weather. A fee will be charged if items are not left in the cabins.
We do not provide maid service and to help keep the cost of the cabin rental down as low as possible, make sure the cabin is clean and all items put back in its place for the next guest.
Security Cams
We do have security cams installed on the outside of the cabins. The cams are not monitored but only as an extra security just incase some type of incedent had occured. The cams are not used to spy or intrude in your privacy when you stay at our cabins. There are NO cams indoors or even pointing indoors from the outside.other than the main enterence door.
ABSOULATLY NO OPEN FIRES ON THE GROUNDS!!
ABSOULATLY NO PETS ALLOWED ON PREMISES unless prior arrangements have been made with the owner or manager.
RV Parking & Tent Camping:
These activities are not allowed on the cabin properties. (A pup tent for kids' play is fine)
ATV Riding:
ATV riding is prohibited around the cabins property, other than the roads to the property or addition. Most roads outside the estate are county roads and it is illegal to ride a vehicle that is not properly tagged.
SHOOTING GUNS OR FIREWORKS is prohibited on cabin property.
When driving in and out of the area, please DRIVE SLOWLY (10 MPH or Less) and safely. There are children that may be playing outside.
If occupant/renters becomes a Nuisance and causing a problem, they will be asked to leave and NO REFUND will be refunded and reservations considered expired.
Quiet hours are between 11:00 p.m. - 7:00 a.m.
Every effort will be made to secure and make safe all facilities under our management.
All of our rental properties are privately owned units. All activities involve certain inherent risks of injury up to and including death. It is expressly understood and agreed that neither the owner nor the management company of said premises, shall be liable for any damages or injury to guest, guest's guests or their family/ies or to any of their property from whatever cause arising from the occupancy or use of the premises by said occupants.
It is also understood that the owner and Fort Cobb Cabins are not responsible for any wildlife or stray animal(s) that may enter the property.
If anyone neglects to follow the rules, policies and suggestions of Fort Cobb Cabins they cannot hold us responsible for their actions, accidents or neglect. Once your first payment is received, it is considered a rental agreement and is considered a legal and binding contract.
We are not responsible for any power outages, and this will not constitute a refund if the power outage is out of our control.
Refunds will not be refunded due to weahter changes since we do not have control of the weather.
